Application DEADLINE for first round of booth assignments
An application and $500 per booth deposit must be received at MDDS by September 4, 2009 to be included in the first round of booth assignments.
DEADLINE to cancel exhibit booth space
All cancellations must be submitted to MDDS in writing. Cancellations received by September 4, 2009 are eligible for a refund of the deposit, less a cancellation fee of $50 per booth.

First round of exhibit booth assignments
Applications received by September 4, 2009 will be assigned booth space in order of accumulated exhibitor seniority points.
Late September 2009
Booth assignments emailed & Exhibitor Service Center available
Booth assignments are emailed to the main contact listed on the booth application. The Exhibitor Service Center will be available at www.rmdconline.com using the user name and password is sent with the booth assignment. The Exhibitor Service Center includes exhibitor registration and all necessary order forms including furniture, electricity, carpeting, etc.
October 23, 2009
BALANCE DUE for exhibit booth accounts
If payment in full is not received by October 23, 2009, exhibiting company forfeits its assigned booth location and will be required to pay MDDS liquidated damages equal to 100% of the total deposit.
December 22, 2009
DEADLINE to submit equipment orders and receive discounted rates
To receive discounted rates, all orders must be accompanied by payment and returned to the appropriate vendor by December 22, 2009.
DEADLINE to submit electrical service orders
To receive electrical service, you must submit your order to the Colorado
Convention Center by December 22, 2009.
December 31, 2009
DEADLINE to submit Certificate of Insurance
Certificate of Insurance must be submitted to both MDDS and Freeman.
DEADLINE to order complimentary furniture package
To receive the complimentary furniture package, the exhibiting company
must place an order for the package with Freeman by December 31, 2009. If the package is ordered after the deadline, the exhibiting company is responsible for all furniture package fees.
DEADLINE to register exhibit booth personnel
Registration is available online at www.rmdconline.com. Exhibitors not pre-registered by December 31, 2009 must register on site. Exhibitors registering on site will be required to provide proof of employment, such as a company business card with their name printed on it. Exhibitors may register up to 10 booth personnel for each 10’ X 10’ booth space purchased. Exhibitor registration is not permitted for exhibitors’ clients or customers. Exhibitors will be charged the appropriate rate for non-employee registrants.

Booths not occupied by 5:00 p.m. will be considered forfeit.

Convention Sponsorships
Accelerate and deepen your relationships with customers by moving beyond your exhibit booth and sponsoring convention events. Sponsorship packages are custom designed for each exhibitor to ensure that you are getting the maximum exposure that is most beneficial to your marketing objectives. Now is

How do we apply for all of these great marketing opportunities?

Where can I find a copy of the exhibit booth application?

When is the application due?
To be included in the first round of booth assignments, you must submit your application and $500 per booth deposit by Friday, September 4, 2009.
How should I submit my application for space?
You can submit an application by mail, fax or online. You can submit an application with a credit card by mail, fax or online. If paying by check, your application can be submitted by mail only.
What is included with our booth space?
The complimentary furniture package for each booth includes one draped table or counter, one black chair or stool and one wastebasket, provided you order the package from Freeman by December 31, 2009. You must order this package.
How are exhibit booths assigned?
Exhibit booths are assigned based on exhibitor seniority points. Companies receive one point for each year they have exhibited at the Rocky Mountain Dental Convention plus one point for each booth more than one purchased for the 2010 show. Companies with the same number of seniority points are assigned in order of date the application was received, with those submitted earlier in the year getting assigned before those submitted later.
How do I register my company employees?
You may register your booth personnel online. Exhibiting companies may register up to 10 employees for each 10’ X 10’ space reserved. Exhibitor registration is not permitted for exhibitors’ clients or customers. Exhibitors will be
charged the appropriate rate for non-employee registrants. Exhibitors must complete registration by December 31, 2009.
May I order exhibitor services online?
Yes, all exhibitor services can be requested through the Exhibitor Service Center. A user name and password will be emailed to your company’s main contact along with the booth assignment in late September 2009.
May I make sales on the show floor?
Sales or other transactions by exhibitors are limited and restricted to taking written orders for future delivery. Under no circumstances shall goods be delivered nor shall any cash, credit purchase or check be issued at any exhibit unless you prominently display a current Colorado and Denver Sales Tax License.
Where do I ship my exhibit?
Freeman will accept shipments between December 22, 2009 and January 12, 2010. Shipments must be prepaid and addressed as follows:

May I hand carry my booth materials on the Expo Hall floor?
You may hand carry materials to your booth. Any material that requires the use of a dolly, forklift, etc. must be handled by the Denver Theatrical Stage Employees Union Local 7 and arranged through Freeman.
Are children permitted in the Expo Hall?
Children are permitted in the Expo Hall ONLY during open hall hours. However, an adult must accompany all children under the age of 14 while in the Expo Hall. Parents taking children into the Expo Hall do so at their own risk. Neither MDDS nor the Colorado Convention Center will be responsible for injury that may occur to children from any cause whatsoever while they are in the Expo Hall. Children are NOT permitted in the Expo Hall during move-in or move-out. Children found in the Expo Hall during move-in or move-out will be required to leave immediately. NO EXCEPTIONS to this policy will be permitted, so please make arrangements for children in advance.
May I break down my booth before the show closes?
NO. Packing of equipment, materials, or the exhibit cannot begin until 2:00 p.m. on Saturday, January 23, 2010. Companies that begin packing their equipment could risk losing their space at future Rocky Mountain Dental Conventions.
